A combination of widespread internet availability and increasingly onerous legislation has transformed data protection and privacy in the workplace in recent years. Little more than a decade ago, most organisations ran their HR records on IT systems but were severely restricted by storage limits, access speeds and in most cases, limited internet use. In 2009, the amount of personal data a company can hold on an employee is almost limitless, and in today's virtual world of online recruitment and social networking there is more information available through the internet than ever before.

Several high profile government organisations, including the Home Office and the Department of Health, have hit the headlines for breaching data protection regulations – ultimately damaging the employer brand. These data losses have not only put legislation to the test but have put all data holders in the spotlight. Activities of employees outside the workplace have also raised further concerns.

Consequently the profile of information gathering and processing structures has been highlighted within both public and private sector organisations – it is vital for employers to ensure their policies for protecting employee data are robust, that legal obligations are met and that they communicate to staff effectively.
